Working alongside experienced transport professionals, you’ll coordinate vehicle servicing, MOTs, repairs, and compliance activities, while maintaining accurate records and supporting the day-to-day administration of the Transport Office.

This is a varied and fast-paced role that would suit someone who is organised, detail-oriented, and enjoys working in a team environment. Full training will be provided on the Company’s fleet management systems and processes.

Person Specification

We are looking for a proactive and organised individual who enjoys working in a busy administrative environment and takes pride in maintaining high standards of accuracy.

You’ll be a strong team player with the ability to manage competing priorities, communicate effectively with colleagues and suppliers, and ensure important compliance deadlines are met. A good mechanical understanding would be advantageous, as the role involves supporting the maintenance and compliance of a large commercial vehicle fleet.

You should be flexible, dependable, and capable of working both independently and collaboratively within a supportive team environment.

Key Responsibilities

  • Book vehicle servicing, maintenance, MOTs, tachograph calibrations, and repairs
  • Support the ongoing compliance of the Company's commercial vehicle fleet
  • Assist in ensuring the requirements of the Operator Licence are maintained at all times
  • Work closely with other Transport Administrators and the wider Transport Team
  • Respond to internal and external telephone enquiries in a professional and timely manner
  • Welcome visitors to the Transport Office and issue work permits where required
  • Maintain accurate fleet and compliance records using Company systems
  • Assist with transport administration and documentation to support daily operations
  • Monitor key booking and maintenance schedules to ensure compliance deadlines are met
  • Provide support to colleagues and contribute to the efficient operation of the Transport Office
  • 24/7 on-call rota, providing telephone support only with no requirement to attend the office

Skills and Experience

Essential

  • Excellent organisational and time management skills
  • Strong attention to detail and accuracy
  • Good communication and listening skills
  • Ability to effectively prioritise workloads and meet deadlines
  • Ability to work successfully within a team environment
  • Good IT skills and willingness to learn new systems
  • Flexible and proactive approach to work
  • Good understanding of the importance of safety and compliance

Desirable

  • Mechanical knowledge or interest in commercial vehicles
  • Previous administration experience within a transport, fleet, logistics, engineering, or operational environment
  • Experience working with databases or fleet management systems
  • Understanding of transport compliance requirements and Operator Licence obligations
  • Full UK driving licence
